Reunion Ideas

Planning Committee Members: Carol Carson Yates (Marion), Bob Beall (Rita), Kathy Beall Frehner (Rita), Suzanne Beall (Rita), Brian Kelly (Rita), Suzanne Chatigny Zazzi (Jack), Rick Colthurst (Wally), Monique Madigan Bonjour (Dorothy), Tom Colthurst (Ted), Michlene Colthurst Norton (Sterling)

Master of ceremonies

Rick (4/12/01 - 4/19/01) - 'Suggest we split the master of ceremonies effort into at least 2 --- Bob B. & me as we each probably are best connected to the majority of the family members (and have different groups with whom we do so), but we should accord a high place for Sterling as the senior survivor. Will he be able to attend?'

Bob B. (4/12/01 - 4/19/01) - 'I think we need an MC!! Any ideas?? Maybe a couple to do it for a certain amount of time and "Spread" it around..'

Bob B. (4/12/01 - 4/19/01) - just received a 'note from Michlene (Sterling's daughter) explaining that her Dad ,Sterling, wouldn't be able to attend the reunion. Because he and Inga will be on a "Surprise" visit in Germany. So we better think of another person to be in the chair of honor is Bev Kempkey the oldest of the first cousins??' -- RICK -- 'Concur ----the party's for her after all!!!:-)'

Rick (4/12/01 - 4/19/01) - 'It is a shame about Sterling maybe we could put some positive enthusiasm/disappointment?? on him (Michlene?)'

Rick (4/12/01 - 4/19/01) - 'For Suzanne, I'd also recommend a place of honor for your Dad, who, other than Sterling, is our surviving member of our greatest generation of 2nd World Warriors who saved us all!' -- SZ: No, my Dad is not well and will not be attending.

Michlene (4/12/01 - 4/19/01) - 'I'll video a message from my dad since he can't attend.'

Suzanne (4/12/01 - 4/19/01) - Re Sterling: 'Maybe he could share a memory of the old times and a welcome to the next generation, along with words of wisdom. I know he would be most enlightening.'

Rick (4/12/01 - 4/19/01) - 'I'd suggest we offer everyone the opportunity to provide inputs on positive anecdotes (almost did a Freud?Antidote) on family members, including letting the kids convey salient (if quirky) attributes of their folks. (all designed to be fun and non-hurtful) (1 caveat, Madigan can't do me:-) & I'll reciprocate:-)' -- Suzanne -- '– All in all, it sounds like another great idea.  Some of us will need some time to think about some things and then put it together'.

Rick (4/12/01 - 4/19/01) - 'E. G. I'd be willing to do a matrix. It could include  military service, Bob could fill in on non-mil civil service (Education, Police, Fire, Marion's, Medicine, Law,etc.), Monique could do so on volunteer work,  and one of the Beall Clan could do one on business/entrepreneurship!'

Rick (4/12/01 - 4/19/01) - 'I'll take the latest listing convert to a matrix (Excl) and add categories (Excl lets us auto sort by column, etc.) I can Access DB it, too, but I'd like to use the Excl to design the views. I'm thinking the following categories: occupation of some of members/spouses volunteer efforts, significant life experiences areas of the world traveled major accomplishment form their viewpoints (some of these may be duplicative but I'll show an example some diffs) general regions/locations common threads; e. g. you, Thomas/Chris, Cathy & me in HI Tech, etc.' -- Suzanne -- 'I like your idea and we can post an example as soon as you’re ready.  I know now that you mean Excel for (Excl) and then suddenly everything came into place.  I think it is a great idea and personally would like to see a sample and then see what everyone else thinks.'

Bob (4/24/01) - 'Hi Suzanne: Regarding the MC for the reunion. Michlene's husband is a great professional Entertainer, Phil Shane. He would be a terrific MC if we could talk him into it ..Impersonations, singer etc. If there is any interest (he has a web site that list his recordings) it is pretty cool www.philshane.com. I can contact him. if the "Committee" is interested.'

Getting people to know people

Kathy Beall F. (4/12/01 - 4/19/01) - 'We'd be willing to help out-have lots of great ice breaker ideas for large groups as I am known at our school as the Cub Scout lady. I'm in my 3rd year as a cub leader and BSA has tons of great and fun ideas for large groups. .... What do you think of designing a reunion logo and have each family be wear the appropriate color in a polo type shirt we would take orders for? At the very least-maybe we could color coordinate the families-Chatigny clan in yellow, Madigans in green, for instance. Just a thought to help everyone out-could be fun.' -- Suzanne -- 'Love the idea of the t-shirts.  Logo can be JEC and underneath that, the web site name.  On the back of each t-shirt, maybe we could put 'KEMPKEY' or 'FREHNER' or 'BEALL' or 'KELLY', etc.  It would be hard for me to identify all Rita's great grandchildren.  I probably would need some help.

Bob B. (4/12/01 - 4/19/01) - Picture Boards/CDs: 'I thought we might have each family have an easel (or something to hold photos) and have a display of pictures from John Colthurst to present. We can have a scanner on site to copy photos to make a disc and have someone taking digital pictures. Any suggestions?). so we can add photos to or set up a reunion web site. Ted's son is the web site wizard ! We could also make up a CD from photos e-mail to me before the reunion. I may need some technical help. Any suggestions on these items???' -- Suzanne -- 'Lots. This is why I suggested the genealogy. All the pictures would be on the web. Each family would have their own web page. You like? I am in the process of getting a web site. We can have a link to the site from Colthurst.com as well as a direct connect. My thoughts were to have this done soon so that everyone can enjoy the complete family before the family reunion. I have a scanner at home, which is how I was able to get the two pictures in the Word doc, and am contemplating a digital camera. At the last reunion, both Ed Kempkey and I were the official photographers. I made packets of around 50 pictures for the heads of each family and labeled each one in case they wanted more, enlargements, etc. However, with a digital camera, I'd just post it on the web site. What do you think? Do you like my idea of the genealogy?'

Suzanne (4/12/01 - 4/19/01) - Computer Games: 'I was thinking of some kind of game.  We could play the game over time on the web site.  As the web site is being built, there would be enough clues to help answer the question or someone would have to collaborate with other family members to figure it out.'

Mary Chatigny Harding (4/18/01) - 'I hadn't realized there were so many relatives.  Some of whom I have never met. It would be great if at the reunion there was a color-coded family tree and those who attend wear a color-coded name tag.  For those who cannot attend, perhaps a photo on the family tree would be helpful. Any games planned for the younger generation?'  -- Suzanne -- 'Agree with your suggestion on using color codes.  I guess you didn’t see the suggestion under PLANNING, IDEAS, and Getting to know others.  There are some good ideas regarding color-coded t-shirts, complete with logo.  I think it is a great idea.  You are confirming things that the committee has some up with; so, I’m pleased to hear it.  For those that cannot attend, that’s why the genealogy.  Plan on dedicating one page per family with all the pictures and information on their family that they want to put in.  The games for the younger generation that I’ve come up with are the games for them and us to play BEFORE the reunion and maybe AFTER the reunion.  I hadn’t quite thought about the reunion itself.  Still need to brainstorm.  Want me to include you on the brainstorming committee?  This one needs some flushing out.  Let me know.  Sounds like you’d be an excellent candidate!'

Kathy Carson Anderegg (4/24/01) - MEMENTOS: 'I understand you are creating a family Web site for the reunion. At a recent family reunion for the Anderegg's, we compiled a hard copy book for the families with current/past pictures and "bio" information. This was a lovely memento to take home after the reunion. Is this in the works for our family? If not, Peter (husband extraordinaire) and I would like to work on such a project.' -- Suzanne -- '....see more of the conversation under 'Genealogy'....

Suzanne  (5/6/01) - Computer Games:  'I thought I’d take a stab at the computer games for ‘Getting People to Know People’.  Have added the link to the games page so we can review since the website is not yet public.  I was thinking on starting easy and then moving into more difficult territory.  As the game is over for the week, the answer can be published.  A little high on the overhead, especially tallying all the scores.  Thought of a question like ‘name all the people that are 50+ years old’ and then got stumped.  Have some pictures of the last reunion, which should take everyone awhile to go through.  Also, have some Christmas’ of the northern Colthursts.  Need several from the southern Colthursts and Bealls to round it out.  People would have to name who is in the picture, when, where, and what function it was.  This could be difficult.  Even I would have trouble.  This is also where I thought that several of Rita’s pictures could be posted.  I’m sure several people could identify the pictures for you.  Then, either as time moves closer to the reunion or interspersed with the old pictures, people could name all the people in a current photo of each family.  For example, the entire Chatigny clan.  Not so easy, even if you have all the names.  Another, all the Kempkeys, all the Bealls, etc.  I think we would all have a hard time.  There was also a picture of the whole family, including Sterling’s family, before a wedding reception down south.  It might have been your wedding.  That would be another good picture.  All in all, this could be a good family game.  It really would take all ages to figure out a lot of this stuff.  For those that participated in the game, they would really know their cousins by sight before the reunion.  Then, we’d need to get them talking to each other at the reunion.

I could also change tunes and they would have to ‘name that tune’ as well.

The grand prize… the 2nd runner up… the 3rd runner up prize ….  We’d need to think on that.

Maybe we could brainstorm a little.  We have plenty of time if this is once a week.  We just need to lay it out a little.

Andrew, Shelly, Melissa, Katie, Chris - any thoughts on how to make this more fun for the 20 year olds?  Yes, I can add some modern tunes in there.  Anything else?  Mary – Any thoughts?'

Kathy Beall F. (5/7/01 - Computer Games: 'Sounds a bit involved, but could be fun. Maybe every other week or maybe a few new games per month. I know the idea is to get people to the website often, but there are times when its all I can do to check the computer! Another fun spin-off of games might be to see who in the family is named after another family member (1st and middle names included). I think every generation has somebody named for somebody. Also, pictures of family weddings and to ask the location of the receptions or stuff like that. A tally of family occupations and some type of game might be fun as well as some kind of college type game of colleges different family members have attended. Might be fun legwork to be recapped at the Reunion-% of college grads., etc. What do you think?'

Suzanne (5/7/01) - Computer Games: 'Kathy,   Yes, a bit involved, but no problem since I'm doing the genealogy side and need to procure pictures anyway.  I’d be more than happy to do it.  The pictures of family weddings sounds good, as well as college type game of colleges that family members attended.  Great ideas.  I think we should start simple, then add some fun stuff of today, and periodically deviate by questions such as you suggest.  We’ll know if it’s a hit or not within a month and we’ll know what gets people participating and what doesn’t.  We can then finish out the games along the same themes as the ones that are a hit.  I think it is worth a try.  We can change the type of games at any time.  We can even come up with a game that we thought of and post that week.  All is flexible.  I guess what’s more important, is that people will have to work with their immediate family on several of these to put it together and the end result is that they will know everyone by sight at the reunion and they will know their ancestorsThanks for the suggestions.  I'll start implementing and see how it goes.  If once a week is too much, then we'll have games overlap.  I think it will all work itself out in time.  As for some of your suggestions, I’m going to forward to our Master(s) of Ceremonies.  I think they are great ideas.  Love them!'

Andrew Zazzi (5/7/01) - Computer Games: 'You can make a Tetris type game where each block has someone's name and picture on it.  Space invaders where all the family members are the bad guys moving across the top of the screen.  A Doom like game where you have to kill all the Colthursts, or the Chatignys.  All the demon's of course have family member pictures on them.  You could make a screen saver where different family members names appear on the bottom of the screen, then a picture of them falls from the top of the screen, and they splat when they hit the bottom.

In actuality though, I can't see a lot of the younger crowd participating in many of these activities.  In general the young have more important things to do then try and learn the names of family members whom they see a few times every decade.  A better suggestion might be to pass on the games all together and let everyone learn about each other the old fashion way.'

Brian (5/7/01) - 'I like the idea of chipping in for mementos - tee-shirts etc.'

Bob Beall (5/8/00) - MEMENTOS:'..I also like Sterling's writing style..Very precise..I didn't realize that my mince meat and Fruit Cake recipe of my mother was a hand me down from her mother..If anyone is interested I can post them on the site..' -- Suzanne -- 'Bob You’re on for the recipes!  I really think that is cute.  I can follow suit with recipes from my Great Grandmother on my mom’s side.  I still use the recipe and try and make it every Christmas.  Hey, let’s not leave out Aunt Dorothy’s Mince pie recipe that she made every Christmas.  Was this one of the traditional recipes?  Is this the mincemeat recipe you are talking about?  If it is, I wasn’t aware that that too was passed down.  Wow!  If you can share that recipe, that would be great.  Yummmm.'

Suzanne Beall (5/10/01) - Picture Boards: 'are we going to create any picture boards?'

Suzanne Beall (5/10/01) - MEMENTOS:  'Maybe a family favorite recipe book where everyone can e-mail in old family recipes.  I would volunteer to put it together. Nothing elaborate and then we could bring it to the reunion and just collect the cost.'

Tom Madigan (5/17/01) - Name Tags: 'I  think  everyone should wear NAME-TAGS- that eliminates the embarrassing- "gee who are you" type thing.'

Kathy Beall Frehner (6/6/2001) - MEMENTOS: 'Perhaps to make it easy for Suzanne B., each family could just type up a master recipe page of any family recipe they have from the past or presently enjoy for their own family. Then, Sue could simply photocopy and colate a "booklet" with a Colthurst Reunion cover on the front. Might be an easy and inexpensive way to do it.'

Genealogy

Kathy Beall F. (4/12/01 - 4/19/01) - 'Also, have lots of genealogy info. and a huge box of family photos left here by Don-many of the pics need i.d., though. They came from Rita.' -- Suzanne -- 'Once we get the pics scanned, we can get some seniors to review and they will tell you who is who. Oh, what great fun we can have over the next couple of months.'

Suzanne (4/12/01 - 4/19/01) - 'See 4 paragraphs above.  Basically, all families can be documented in genealogy form on the web, complete with photographs, explanation of what each member of the family is doing, and some interesting things about the family.  Each generation will have their own web page.  This could be totally wild.  I haven't even mentioned the digital camera.  Yes, we can add our doggies and our homes/gardens if that is what our interests are.  In other words, use 'genealogy' to introduce the family to other families.  I know we are just scratching the surface on this'.

If not, Peter (husband extraordinaire) and I would like to work on such a project.' -- Suzanne -- '....Please read my ideas and see if they match up with yours. There are also some ideas in the Master of Ceremonies....' -- Kathy Carson A. -- 'I think the Web page per family is a great idea and perfect for publishing and maintaining info about our families. I may be wrong, but I think some people might enjoy a hard copy of the "family album". This is what I am talking about. You know, something you can drag out to show your in-laws who don't own a computer. Since print/publication has different requirements than Internet publication it would involve additional effort. One could always print off the Web site, it's true, but the resolution, due to the dpi would not render a quality publication. Anyway, this is just a thought. If you all don't think you want something like this, I won't suffer in any way!!! Happy to help in anyway that I can. By the way, we have a high resolution digital camera.' -- Suzanne -- 'Cathy, Nothing is cast in stone. We are just about ready to get to this topic and put it out for discussion. Lets leave for discussion. I'm happy you are interested because I am very interested too.'

Bev's Birthday Cake

Kathy Beall F. (4/12/01 - 4/19/01) - '...hope the Kempkeys let us do something on the cake front-not sure if they know Bernard is a Swiss Chef-you remember the wedding cake don't you?'

'Doing the cake from a distance doesn't bother us-we made my college room mate's wedding cake in San Francisco a few years ago and also did a big cake(250 people) for John Beall in Albuquerque, New Mexico-both times we baked the cake in Redlands and froze the layers and Bernard iced and decorated it on-site. His cakes are incredible. We have an awesome white wrought iron stand that would be great and we could bring-we will probably drive-just too many kids and too much stuff for us to fly. Anyway, we are looking forward to it.'

Brian (5/7/01) - 'Kathy - on the dessert - whatever you think - we could provide a huge filled sheet cake and then let Bernard go at it - or what ever you think best.'

Food

Brian (4/12/01 - 4/19/01) - 'Maggie - she only wants to control the menu - first blush is that we'll provide the meat, dessert, and service (plates, etc.). Perhaps one local extended family will do a green salad, another hoer d'oeuvres, etc, and everyone can bring a bottle of wine.

'I'm happy to flip pancakes on the grill all morning/weekend long. (With an Italian and a Peruvian getting very close to the family, I'm used to serving 10:30 breakfasts.) -- Suzanne -- 'I'll be there. Count me in. I can help with the sausage and we'll need someone on coffee and juice duty. Lots of coffee.'

Kathy Beall F. (5/6/01) - 'I'd like to suggest that everyone coming throws in a few$$ and maybe someone is hired to just help put out food, refill the buffet, keep kitchen clean periodically-even if it's only for a few hours in the beginning when it is chaotic. This is what Bernard and I do when we have large parties and it is the only way we can enjoy them. We do all the pre-party work ourselves-like make the food, set-up, etc. We have someone arrive an hour before to acquaint themselves with the layout, eases the pre-party stress and we can get dressed, etc, and it works really well.  I'm concerned that if we rely on ourselves, a few (like Maggie & Brian) will wind up running their legs off and not really being able to sit and gab and enjoy. Just a thought, since our #s are so large.' -- Brian (5/7/01) - 'Great ideas - - we do want to have fun - - perhaps the teenager's and twenty something's (this week my three are 20, 21, & 22) can do a bunch of work.  Our idea on food was to keep it simple - -a few hors d'oeuvres, BBQ some steaks, only a couple of salads, corn and or potatoes, bread and dessert (of which we would love some help from Bernard). Everyone BYOB and drinks - and it should be simple. We were planning to provide the dinner - and have some others bring the hors d'oeuvres and salads.'

Setup/Takedown

Suzanne (4/21/01) - 'Suggest we get some volunteers.  I will be the first to sign up.  We'd probably want to start the setup on Friday and for takedown, either Sunday night or Monday.  Am open.'

Cleanup during the Reunion

Suzanne (4/21/01) - 'Suggest the kids, anyone 30 and younger i.e. generation 4, perform cleanup.  Have a roster and the yellow family does it this hour, green family next hour, etc.  Clear plates, empty glasses, cans, empty ash trays, get ice for cabaña, run errands for bar tender and Maggie.  Duties should be fully defined.  It's time that the 'AARP' folks socialize more and let the younger generation get to know everyone by working the reunion!'

Brian (5/7/01) - (excerpt from the Food section) '..... perhaps the teenager's and twenty something's (this week my three are 20, 21, & 22) can do a bunch of work.'

Bartenders

Suzanne (4/21/01) - 'Looks like it's the 'AARP' folks or the 20 - 30 something kids.  Think we should have at least one AARP in charge each hour and know what the drink/drinks of the day are.   I usually pick one or two drinks for the day as the house specialty like strawberry daiquiris, margaritas, etc.  Someone can get creative and have a bar menu.  Needs more discussion.'

Photographers

Suzanne (4/21/01) - 'Obviously, we need one, or more photographers.  Suggest we have at least 3 so that no one has to do it full time.  Since I've been the photographer at each reunion and was official at the last reunion, I gladly volunteer to be a photographer again.  Does anyone else want to volunteer?  Need great photographers!'

Suzanne Beall (5/10/01) - 'at big events- a throw away camera  at each table will usually yield some great shots and get everyone involved.'

Treasurer

Suzanne (4/21/01) - 'We'll need money for T-shirts, website, pictures....Just thought I'd jot down expenses and throw it out as an idea to be aware of.  We'll probably need money for breakfast the next day, munchies...etc.  Haven't thought of everything.'

Winery Tours

Brian (4/12/01 - 4/19/01) - '...visit the Napa Valley Visitor and Convention Bureau to gain lodging info and web-sites. ... I'm happy to set up winery tours, etc.'
